Senior Administrative Assistant

Job Summary

To provide confidential administrative support, project coordination, analysis and project tracking as well as effectively coordinating all communication in Development for Executive Director, Senior Directors and other administrative staff. This position will be responsible for providing direct support and representation to the Executive Director and Senior Directors in Development. Responsibilities will be quite varied in scope and include data gathering, analysis, writing projects and project tracking as well as responsible and confidential administrative support tasks. Support includes meeting notices, agenda preparation, and minute preparation requirements.

Duties

  1. Maintains project schedules of work assigned to departments; monitors and tracks progress of assigned projects; follows up to obtain status reports; prepares summaries of project status for review by Executive Director.
  2. Responsible for design and preparation of Development department reports; both those used internally and those presented to Executive and Board leadership.
  3. Performs special studies and analyses as assigned; gathers and evaluates data; contacts other organizations if necessary to obtain information; analyzes statistical, operational or other information and prepares reports and recommendations based thereon; conducts various internal and external surveys.
  4. Supervises departmental budget preparation process, monitors and ensures correct expense accounting to budget keeping systems.
  5. Manages incoming and outgoing communication for Executive and Senior Directors including phone calls and visitors, responding to requests and referring inquiries to appropriate sources; makes appointments and arranges meetings; and gathers relevant background information needed for meetings.
  6. Functions as coordinator for all Development staff meetings; prepares, assembles and distributes agenda materials; attends meetings, takes notes, transcribes minutes for review and distribution.
  7. Provides confidential administrative support to include transcribing, composing and editing a variety of confidential correspondence and reports; will perform work using Word, Excel, database, e-mail, Internet and other specialized functions.
  8. Performs other related work as required.

Qualifications

  1. Must be a Christian, having a personal relationship with Jesus Christ. Must also agree with our statement of faith and conduct his/herself in a Christ-like manner.
  2. Bachelor’s degree in Business, Public Administration, English or related field preferred or a minimum of 4 years experience working for senior management in an administrative support or analytical staff capacity.
  3. Office management experience preferred along with experience in analysis techniques and basic statistics.
  4. Must be able to handle all matters with a high degree of maturity and confidentiality.
  5. Ability to organize, coordinate, and prioritize a variety of assignments with varying deadlines along with ability to work effectively under pressure with frequent interruptions.
  6. Ability to communicate effectively, both orally and in writing, maintain detailed and accurate records and prepare clear and concise written reports. Accurate, efficient, and computer literate with word processing, spreadsheets, and database experience.
  7. Customer service-oriented along with strong proficiency in English language usage, grammar and punctuation.
  8. Ability to gather and analyze data and prepare reports and recommendations.
  9. Positive and servant-heart attitude, with ability to establish and maintain good working relationships both internally and externally.
  10. Physical Requirements: sit at a desk for long periods of time using a computer screen; reach for equipment or supplies; perform grasping and fine manipulation tasks; use telephone and computer keyboard on a daily basis; occasionally lift and carry items weighing up to 10 pounds.
