Human Resources/Front Desk Assistant

Job Summary

To serve as HR Assistant to accomplish goals of the Human Capital team and assist the Administration Department, including providing front desk coverage, main phone and bookstore backup and other assistance as requested.

Duties

  1. Upon receipt of job description, proactively compile list of appropriate job boards, confirm list with Recruiter and post in a timely fashion.
  2. Coordinate travel arrangements for candidates coming in from out of town and relay travel information to candidate via email.
  3. Coordinate interview/meeting/lunch requests, while proactively keeping meeting organizer apprised of attendee status and any changes that occur prior to meeting or interview.
  4. Assist in benefit administration by increasingly expanding knowledge of each benefit and taking greater responsibility over time for all benefit administration processes.
  5. Benefit responsibilities include assisting with: annual open enrollment communication and processing, updating of benefit communication documents, organizing and updating enrollment files, preparing for and processing new hire, termination and mid year enrollment changes, processing disability and worker's compensation claims, tracking COBRA elections and premiums collected, auditing and processing premium invoices for payment, preparing standard reports and special reports as requested, and fielding employee benefit inquiries.
  6. Schedule and coordinate orientation training programs.
  7. Front desk responsibilities will include greeting guests, building security, covering phones, procedures for deliveries, applicants, and facilitating tour requests. Also answering inquiries from Bible League staff, donors, and other guests concerning any aspect of Bible League’s ministry.
  8. Provide back-up for all facets of the bookstore, including procedures for ordering additional stock, handling walk-in, written, and phoned-in orders, and running reports and order processing.
  9. Help facilitate smooth communications flow within the department, and recommend ways for the department to operate more efficiently. To manage the sending of daily HR email announcements.
  10. Respond to requests for help and to look for ways to provide help to the other Administration Department staff when needed.
  11. To provide back-up for the Hospitality Department and payroll processes as necessary.

Qualifications

  1. Must be a Christian, having a personal relationship with Jesus Christ. Must agree with our Statement of Faith and conduct him/herself in a Christ like manner.
  2. Should have excellent administrative skills, including telephone, filing, and be proficient in Word, Excel, and PowerPoint.
  3. Capable of making routine decisions in the place of Administration team members.
  4. Ability to work with people at all levels throughout the organization and be team oriented.
  5. Must have initiative in taking the lead on projects along with interest in growth and development in field of Human Capital.
  6. Must handle all matters with confidentiality.
  7. Should be able to represent the BL with the public.
  8. Candidate should possess a minimum of 2-5 years experience ideally within the field of Human Resources.
  9. Associate’s degree preferred.
